Job description/overview

This is an opportunity for a person who is organised, enthusiastic and a self -starter to work in small team undertaking a range of administrative, financial, and other office-based activities to maintain the efficient and effective operations for the corporation.

Reporting to the directors you will:

  • Undertake a range of administrative tasks including preparation of correspondence/reports, organising meetings, meeting budgets, taking minutes, travel bookings and reception duties.
  • General accounts experience with demonstrated experience using MYOB or Xero.
  • Ability to work autonomously.
  • Ability to follow written and oral instructions, to work within guidelines and procedures and to provide a quality customer service.
  • Ability to determine client needs and take appropriate action.
  • Ability to work as part of a team and establish good working relationships.
  • Demonstrated skill in written and oral communication.

Key Competencies:

  • Strong organisational skills with attention to detail.
  • High cultural awareness and respect for Aboriginal and Torres Strait Islander Peoples, especially of Cape York.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Word, Outlook, and Excel.
  • Demonstrated ability to provide timely and courteous customer service to both internal and external stakeholders.
  • Skilled in handling enquiries, correspondence, and ensuring prompt responses.
  • Collaborative team player, able to work effectively with traditional owners, external clients, and service providers.
  • Ability to perform duties autonomously within established guidelines and procedures, while seeking continuous improvement.
  • Demonstrates initiative, discretion, and sound judgment.
  • Experience in general accounts management.
  • Strong ability to follow instructions and establish productive working relationships.

Key Responsibilities:

  • Ensure compliance with the Office of Registrar of Indigenous Corporations (ORIC) governance standards.
  • Schedule, organise, and take minutes for director, general, native title holder, and stakeholder meetings.
  • Draft budgets, organize travel itineraries, allowances, and coordinate venues and catering.
  • Assist directors with member and stakeholder communication and track action items to ensure follow-through.
  • Serve as the primary contact for the corporation, ensuring timely distribution of notices and updates to directors.
  • Manage membership applications and present them for review at director meetings.
  • Maintain and organise both paper and electronic filing systems.
  • Uphold confidentiality standards and demonstrate professionalism in all interactions.
  • Provide administrative support to directors in preparing agendas and reports.
  • Liaise with service providers, such as the corporation's accountant and bookkeeper.
